Duo Tax App Information Guide

INITIAL APP SETUP

Go to settings (cog icon bottom right of the screen), Next to employee name, put your initials. Next to mail, put support@duotax.com.au, also Tick the “ignore empty columns” button.

CARRYING OUT INSPECTIONS

Measure entire property, this is done by measuring each room inside the house, + awning area. Outside areas should not be measured except for awning area.

Record down any items inside the house which are found in the app, e.g. light shades, blinds (m2), kitchen cooktop, carpet (m2).

Take photos of each room, wide open shots which show as much as possible, the photos needed will be used by office to analyse and determine value left on items so it is important to get as wide a shot as possible.

For apartments: Ask tenant how many carspaces they have, if 1: record 12 m2, if 2: record 24 m2 in the garage area

For apartments: Strata section: Strata items need to be recorded, this includes looking out for fire booster pump doors or outside the building (big red pumps), also record how many lifts as well as how many floors.

HOW TO MEASURE

Make sure measuring device is set to m2 (it’ll show a square icon). Measure one side, placing the device right up next to the wall, then measure the other. Record the m2 in the app, if flooring is timber, vinyl or carpet, be sure to record flooring type below area amount.

WHICH PROPERTY TYPE DO I USE?

Use “low-rise” for apartments for 7 floors or less, use “high-rise” for apartments with 8 or more floors.

WHERE DO I NOTE RENOVATIONS?

Either in the renovations section under notes, or in any notes section however be sure to take photos and clearly explain.

HOW TO SEND INFORMATION ONCE JOB IS COMPLETED

After you have filled out the app and recorded area + equipment, go to your photos app, select all the photos and copy them. Go back to the app and click on the mail icon in the top right corner. Paste your photos into the body of the text and click send.

DIRECTIONS FOR MEETING THE OWNER

Ask the owner if he has done any renovations if the property is old. Be sure to act professional. If they ask you any questions, direct them to contact the office who will be working on the reports as you are just trained in inspecting.

WHAT IS FIT-OUT AND SHELL INSPECTION?

If you are requested to inspect building + fit-out, this means you will need to record all the furniture and equipment which the owner has provided for the business to use. This includes price + quantity.

If you are not requested fit-out, you simply carry out inspection as normal recording lights, blinds as you would with a house.

DIRECTIONS FOR INSPECTING AN OFFICE

(calendar app should record if you are meeting owner or tenant as well as if there is a fit-out of not)

If meeting the owner, ask them what has been provided (what have they installed and how much) for the business and record down each item + price and take photos of each item.

If meeting the tenant, ask for the one in charge, then ask for what items have been provided by the owner, record and take photos of each item.

If they have not provided any fit-out, then measure whole space and carry out inspection as usual including lights, carpet, blinds etc.

WHAT DO I NEED TO DISCUSS WITH THE TENANT?

Ask them if they own: 1. clothes dryer, dish washer 3. how many car spaces. If they own them, don’t record, if the owner provided them, they can be claimed.

IF TENANT IS NOT HOME

Call number in calendar invite, if they do not pick up, call office, afterwards take a photo of the front of the property and send off blank file with photo.

REGARDING TAX DEPRECIATION

CAN FURNITURE BE CLAIMED?

Furniture can be claimed if provided by the owner and is used for rental purposes. Most properties will not have any furniture provided.
